Personal Data (either capitalized or not) – any information relating to an identified or identifiable natural person.
Processing (either capitalized or not) – any operation or set of operations which is performed on Personal Data or on sets of Personal Data.
Data subject/User (either capitalized or not) – a natural person whose Personal Data is being Processed.
Child/Children (either capitalized or not) – a natural person under 16 years of age, accordingly with Article 8 of the European regulation 2016/679.

Data Protection Principles

 

We promise to follow the following data protection principles:

  • Processing is lawful, fair, transparent. Our Processing activities have lawful grounds. We always consider your rights before Processing Personal Data. We will provide you information regarding Processing upon request.
  • Processing is limited to the purpose. Our Processing activities fit the purpose for which Personal Data was gathered.
  • Processing is done with minimal data. We only gather and Process the minimal amount of Personal Data required for any purpose.
  • Processing is limited with a time period. We will not store your personal data for longer than needed.
  • We will do our best to ensure the accuracy of data.
  • We will do our best to ensure the integrity and confidentiality of data.

The Data Subject has the following rights:

  • Right to information – meaning you have to right to know whether your Personal Data is being processed; what data is gathered, from where it is obtained and why and by whom it is processed.
  • Right to access – meaning you have the right to access the data collected from/about you. This includes your right to request and obtain a copy of your Personal Data gathered.
  • Right to rectification – meaning you have the right to request rectification or erasure of your Personal Data that is inaccurate or incomplete.
  • Right to erasure – meaning in certain circumstances you can request for your Personal Data to be erased from our records.
  • Right to restrict processing – meaning where certain conditions apply, you have the right to restrict the Processing of your Personal Data.
  • Right to object to processing – meaning in certain cases you have the right to object to Processing of your Personal Data, for example in the case of direct marketing.
  • Right to object to automated Processing – meaning you have the right to object to automated Processing, including profiling; and not to be subject to a decision based solely on automated Processing. You can exercise this right whenever there is an outcome of the profiling that produces legal effects concerning or significantly affecting you.
  • Right to data portability – you have the right to obtain your Personal Data in a machine-readable format or if it is feasible, as a direct transfer from one Processor to another.
  • Right to lodge a complaint – in the event that we refuse your request under the Rights of Access, we will provide you with a proper explanation. If you are not satisfied with the way your request has been handled, please contact us.
  • Right for the help supervisory authority (our association is based in France) – meaning you have the right for the help of a supervisory authority and the right for other legal remedies such as claiming damages.
  • Right to withdraw consent – you have the right withdraw any given consent for Processing of your Personal Data.

Data we gather

 

Information you have provided us with
This might be your e-mail address, name, home address etc – mainly information that is necessary for delivering you a communication service (ex. contact form) or to enhance your navigation experience on our website. We save the information you provide us with in order for you to comment or perform other activities on the website. This information includes, for example, your name and e-mail address.

Information automatically collected about you
This includes information that is automatically stored by cookies and other session tools. For example your IP address. This information is used to improve your customer experience. When you use our services or look at the contents of our website, your activities may be logged.

Information from our partners
We gather information from our trusted partners with confirmation that they have legal grounds to share that information with us. This is either information you have provided them directly with or that they have gathered about you on other legal grounds. See the list of our partners here.

We use your Personal Data in order to:

  • provide our service to you. This includes for example using a contact form, our document viewer or a request to become an AMPERE member; providing you with other services that you have requested; providing you services at your request and communicating with you in relation to those services; communicating and interacting with you; and notifying you of changes to any services;
  • enhance your user experience;
  • fulfill an obligation under law or contract.

We use your Personal Data on legitimate grounds and/or with your Consent.

On the grounds of entering into a contract or fulfilling contractual obligations, we Process your Personal Data for the following purposes:

  • to identify you;
  • to provide you a service;
  • to communicate either for a feedback request or invoicing.

On the ground of legitimate interest, we Process your Personal Data for the following purposes:

  • to send you personalized services and documentations (from us and/or our carefully selected partners);
  • to administer and analyze our client base (user behavior and history) in order to improve the quality, variety, and availability services offered/provided;
  • to conduct questionnaires concerning client satisfaction;

As long as you have not informed us otherwise, we consider offering you services that are similar or same to your browsing behavior to be our legitimate interest.

With your consent we process your Personal Data for the following purposes:

  • to send you newsletters, documents and any kind of service requested (from us and/or our carefully selected partners);
  • for other purposes we have asked your consent for.

We Process your Personal Data in order to fulfill obligation rising from law and/or use your Personal Data for options provided by law. We reserve the right to anonymize Personal Data gathered and to use any such data. We will use data outside the scope of this Policy only when it is anonymized. We save your informations above mentioned as long as needed for accounting purposes or other obligations deriving from law, but not longer than 26 months.

We might process your Personal Data for additional purposes that are not mentioned here, but are compatible with the original purpose for which the data was gathered. To do this, we will ensure that:

  • the link between purposes, context and nature of Personal Data is suitable for further processing;
  • the further processing would not harm your interests and
    there would be appropriate safeguard for Processing;
  • we will inform you of any further Processing and purposes.

 

Who else can access your Personal Data

 

We do not share your Personal Data with strangers. Personal Data about you is in some cases provided to our trusted partners in order to either make providing the service to you possible or to enhance your customer experience. We may share your data only with:

We only work with Processing partners who are able to ensure adequate level of protection to your Personal Data. We disclose your Personal Data to third parties or public officials when we are legally obliged to do so. How we secure your data

 

We do our best to keep your Personal Data safe. We use safe encrypted protocols for communication and transferring data (such as HTTPS). We use anonymizing and pseudonymizing where suitable. We monitor our systems for possible vulnerabilities and attacks with several methods:

  • Use of a valid SSL license for our whole website domain’s encryption (HTTPS protocol).
  • Custom and unique security keys and salts.
  • Enforced passwords for our admin, moderator and editor accounts.
  • Constant database and website backups.
  • Local brute force countermeasure for login attempts to all the above mentioned accounts.
  • A 404 spam detection system.
  • Constant and frequent website monitoring and updating.

Even though we try our best we can not guarantee the security of information. However, we promise to notify suitable authorities of data breaches. We will also notify you if there is a threat to your rights or interests. We will do everything we reasonably can to prevent security breaches and to assist authorities should any breaches occur.

If you have an account with us, note that you have to keep your username and password secret; since we don’t have an account user base, this is valid only for Administrators, Moderators and Editors.

If any user will decide to public his/her own stored data outside of our website by himself/herself without our consulting, we decline any kind of responsibility.

 

Children

 

We do not intend to collect or knowingly collect information from children. We do not target children with our services.

We use the IP anonymization function to maintain user’s navigation much more private, the data detention is set to not maintain users’ data for a period longer than 26 months.

In order to prevent theft and improper use of the profile images in the “About Us” section of the AMPERE’s website, we make use of a third party’s API service (ipinfo.io) to retrieve and show to the users their own IP address on the above-mentioned images. We don’t collect or store these data in any of our databases or repositories, nor do we make use of this technology for a purpose that is not the one just declared.

AMPERE Notification Service

 

Our technologies make use of a dedicated notification service the users can register to. This is an additional service, which may be useful for the users to keep themselves updated with the most recent news regarding AMPERE events, conferences and communications in general.

The link to the submission form is located at the top of the header section of every page (above the navigation menu) and requires the following informations in order to operate:

  • user’s name (a contact reference is needed);
  • user’s e-mail (essential to receive communications).

Additionally, in order to safeguard your privacy rights, it is also required a further agreement to the AMPERE Privacy and Cookies Policy so, if you decide to use this system, you have to agree to this privacy policy.

With the data you submit to the registration form, the system creates a virtual profile which will be used by the above mentioned system to contact you via e-mail when a notification will be available.

Regarding AMPERE Notification Service, all the registered users have the right to:

  • edit the information submitted into the registration form at any time by simply clicking on the link “Change your profile” located into every notification e-mail (including the welcome message);
  • unsubscribe to the AMPERE Notification Service at any time by sending an e-mail to [email protected] and including your will concerning your registration in the message text.

We specify that if you decide to edit your destination e-mail after you registered to this service, you’ll be asked to confirm your mail again before the change will be made.

Also, in case you want to unsubscribe from the service, both your subscription and your data collected by our system, will be deleted from our database as soon as possible (before a limited time of 7 days).

To prevent any kind of data losses and external attacks, we make use of different security measures, including:

  • anti-spam checking system;
  • anti-virus protection;
  • anti-flood delay countermeasure;
  • all the website security technologies described into the “How we Secure your Datas” section located in this page;
  • constant and frequent monitoring and maintenance.

To better respect your privacy we also inform you that all the IP addresses of the users subscribed to the AMPERE Notification Service are anonymized.

The AMPERE Notification Service’s system is also linked to the AMPERE contact e-mail [email protected] so that any user who decides to reply to any kind of notification message, will send an e-mail containing the conversation to the above mentioned address; by this way our association will be able to communicate with all the users who desire additional informations.
